Transcription cost per minute: compare the whole job
Usage prices are only one part of transcription cost. Compare the service, currency, review work and billing rules before treating two rates as equivalent.

Separate automatic drafts from reviewed services
An automatic transcript and a human-reviewed deliverable are different services. A low per-minute price can be appropriate when you can check the result yourself. A human service may be valuable when reviewing every line is the work you need someone else to perform. The price alone does not explain the final output or the responsibility left with you.
Rev’s official support page lists starting rates for AI and human services. Sonix publishes a pay-as-you-go hourly rate. Happy Scribe lists top-up credits in euros on paid plans. These figures belong to different commercial structures. Keep those structures visible instead of compressing everything into a misleading cheapest-service ranking.
Normalize units without hiding assumptions
Converting an hourly usage rate into a per-minute rate is straightforward arithmetic: divide by the number of minutes in an hour. That conversion does not change the vendor’s billing method. Minimum charges, rounding, taxes and add-ons may still affect an invoice.
Subscriptions need a different calculation. Dividing a monthly fee by an included allowance shows a theoretical rate if the entire allowance is used. It does not mean an occasional user pays that rate for the minutes they actually transcribe. Unused capacity and annual commitments can change the practical cost. State the assumed usage before publishing an effective-rate comparison.
| Service | Published unit | Equivalent usage basis |
|---|---|---|
| Rev AI services | From $0.25/min, USD | $15 per 60 minutes before other charges |
| Rev human services | From $1.99/min, USD | $119.40 per 60 minutes before other charges |
| Sonix Pay As You Go | $10/hour, USD | $10 ÷ 60 per minute |
| Happy Scribe AI top-up | €0.20/min on paid plans | Base subscription is additional context |
Keep currencies separate
The prices in the table are shown in the currencies published by the vendors. A euro top-up price is not a dollar price. Converting it requires an exchange rate, a date and assumptions about taxes or payment fees. No currency conversion is made here.
Regional pricing, promotions and account-specific offers can create further differences. A temporary discount should be labeled with its conditions rather than presented as a permanent tariff. Before purchasing, verify the exact checkout, billing cadence and renewal terms. This page is a dated reference, not a live quote from every vendor.
Count the review effort you retain
For a practical project budget, write down the tasks after the draft appears. Names may need checking. Speaker labels may be incomplete. Captions need timing and line-break review. A quote intended for publication should be checked against the original exchange. Those activities remain work even when software produces the first draft quickly.
Do not use an unsupported universal multiplier for that review time. A clear monologue, a noisy interview and overlapping group discussion are different tasks. Time a representative sample under your own quality standard. That observation can inform a local estimate without pretending to be an industry benchmark.
The free local app removes a product usage charge, but it still uses your device, bandwidth and attention. That trade can be attractive when privacy and individual review matter. It is less attractive when you need managed delivery or shared production tooling.
Match the quote to the deliverable
Write down whether you need plain text, a document, subtitle files, speaker identification, translation, proofreading or a certified record. A quote for one output does not establish the price of all the others. Ask the provider’s official documentation or checkout to clarify which features are included.
A subtitle project can include more work than a transcript. The reviewer has to preserve meaning while managing reading speed, timing and line breaks. If the video changes after transcription, captions may need another pass. Treat those steps as part of the actual production plan rather than assuming that a file labeled SRT is ready to publish.
Use a calculator as a transparent estimate
The transcription cost calculator multiplies the duration you enter by the per-minute rate you enter. It deliberately exposes the inputs so you can replace the example with the current quoted rate. It does not infer taxes, round up individual files or add a subscription charge automatically.
For a batch, consider whether the vendor rounds each file separately. Adding all durations first can differ from adding separately rounded charges. Check that rule before using a combined estimate. If you do not know the rule, label the result as an unrounded usage estimate.
Keep the source URL and checked date with a budget sent to someone else. A future reviewer should be able to identify the rate, service and assumptions without reconstructing your browser session. Recheck the provider when you are ready to order, especially if the budget has been sitting for a while.
Worked example
Take an illustrative 40-minute recording and Rev’s published AI starting rate of $0.25 per minute. The unrounded usage calculation is 40 × $0.25 = $10. At a published human starting rate of $1.99, the same multiplication gives $79.60. These are arithmetic scenarios using dated starting rates, not checkout quotes. They omit taxes and any service-specific extras. For Sonix’s $10 hourly rate, a simple proportional calculation is 40 ÷ 60 × $10, or about $6.67. Verify the billing rules before treating that estimate as the amount payable.
Open the local transcriber to test an authorized recording and review the draft against the sound.
Create a budget someone else can verify
A useful budget names the source recording set, the requested service and the date of the quote. Add the billing currency and whether the provider charges by minute, hour, subscription allowance or another unit. Then show the calculation separately from any review labor or delivery work you intend to do yourself.
If the job includes several files, keep their durations visible. This allows another person to apply the provider’s actual rounding rule and identify a missing recording. If the quote contains an annual commitment, show that total rather than only an equivalent monthly label. The person approving the work needs to understand what will be purchased, not only the smallest figure on a pricing page.
A change in scope should trigger a revised estimate. Translation, human proofreading, specialized formatting and a new delivery deadline can all describe a different job from the original draft request. Check the provider’s terms instead of assuming that the same rate covers the addition. Keep any uncertainty explicit until the final quote is available.
For the local workflow, a transparent estimate can still be useful even though the app has no usage fee. Record the time you expect to spend reviewing and the output required by the next person. If the work repeatedly requires substantial correction, a different model, cleaner recording process or managed service may produce a better overall outcome. Price is one input to that decision; it should not conceal the work left after transcription.
Frequently asked questions
Is free local transcription cost-free in every sense?
There is no product usage fee here, but your device resources, model downloads and review time still have value.
Can I compare a subscription with pay-as-you-go?
Yes, if you state the actual usage assumption, billing period and included features. Dividing by a full allowance can understate the cost for a light user.
Why are some competitors missing from the price table?
Only clear, relevant official rates are normalized here. Dynamic, unclear or differently scoped offers are discussed in the comparison pages without invented figures.
